Studio Bid Desk

Terms of service

Effective date: 2026-10-28

Studio Bid Desk is a service of Internet Physics, Inc.

Who we are

Studio Bid Desk is a service of Internet Physics, Inc., a Delaware corporation (Delaware file number 10348328). In these terms, "we", "us" and "our" mean Internet Physics, Inc. acting under the name Studio Bid Desk, and "you" means the business that receives our free dated-need finding or places an order with us.

Our services are for businesses only. By placing an order, you confirm that you act for a business and may bind it.

How Studio Bid Desk works

We work by email. When you ask for something that these terms and your order confirmation do not answer, we refer it to the officers of Internet Physics, Inc., and the answer reaches you by email from john@studiobiddesk.com.

The free dated-need finding

The free dated-need finding costs nothing and commits you to nothing. It is not a trial: it never turns into a paid order, and we never ask for payment details to send it. We prepare at most one free dated-need finding for each company, identified by its website domain. We build it only from public sources, as described below, and you may use it as you wish.

The free dated-need finding lists ten named organisations (brands, agencies or public bodies) with a public, dated video need that is open or dated within the last 60 days, such as an open video-production RFP with its buyer and close date, a video-producer job post, or a launch or campaign announcement, each matched to your studio's work type as shown on its AICP listing or website.

For each organisation, the free dated-need finding gives the link to the signal and its date, why it fits your studio's work, and the decision-maker role a paid campaign would write to, with the person's name only where a public page gives it. It also includes one draft opening email to one of the ten, written in your studio's voice.

We build it from public pages only: your studio's AICP directory listing and public website, for its work type and reel categories; public RFP listing pages, read only for buyer, scope and close date; public job boards, company newsrooms and trade press; and public company team pages and press releases.

It needs nothing from you. It does not say that any of the ten organisations will reply, meet you or hire you.

What we do for paying customers

Outbound batch

An Outbound batch is one studio-month of outbound for 300 researched contacts, for one studio. It includes:

A booked meeting means a named marketing decision-maker at an organisation with a dated video signal who books through your studio's link.

We deliver your batch's researched list of 300 contacts for your review within 4 business days after you accept the order; its first emails go out once your domain is set up and you have approved the messaging.

What you give us, once, at onboarding and before the first send: a secondary sending domain your studio owns, which you buy and on which you add the DNS records we send you; your studio's public booking link; your studio's postal address for the footer of every campaign email; and your approval of the sequence template. We read your reel links from your public website, and you may add others once at onboarding.

You keep the secondary domain, the batch reports and the contact files when you stop working with us.

Sending in your studio's name. Every campaign email is sent in your studio's name, from mailboxes on a domain your studio owns, about your studio's work. Under the CAN-SPAM Act your studio is the sender of those emails, and we send them for you as you instruct. Each email carries your studio's postal address and a way to opt out. We honour every opt-out from your campaign by sending no further emails to that address in any of your campaigns, and we list opt-outs in the batch report's file. We pause sending when bounce or complaint rates pass our limits, and we check the cause before sending resumes.

Monthly batch plan

After a first paid Outbound batch, your studio may take one batch a month as a monthly allowance under the Monthly batch plan. Each month's batch is up to 300 new contacts, their sequences, 30 days of reply handling and booking, a weekly status email and the batch report. Contacts already written to in an earlier batch are excluded.

If you ask for more contacts in a month, we hold the request and offer you one extra Outbound batch at USD 5,500; nothing extra is billed without your consent. An extra batch is a new order, made as described in "How orders are made".

Three parts of an Outbound batch can also be ordered on their own. Each is included in an Outbound batch with no added charge; ordering one alone does not start a batch. The dated-need finding before a batch stays at no charge.

Keep-Your-Domain Setup, sold on its own

USD 1,500 for one secondary domain, billed when its mailboxes are connected. Up to 3 mailboxes on one secondary domain your studio owns, set up in a separate client workspace of our email sending tool, with your postal address and opt-out handling configured, and 14 days of mailbox warm-up. You buy the domain and add the DNS records we send you, and you keep the domain. Contacts, email sequences and reply handling are not part of this order. Unless you order an Outbound batch within 30 days after warm-up ends, we remove the mailboxes from our tool; the domain and its DNS records stay yours. We send you the DNS records after you accept the order, and connect the mailboxes once the records are in place.

Booked-Meeting Brief, sold on its own

USD 300 per brief, billed when the brief is delivered. For one meeting your studio has booked with an organisation you name: that organisation's public, dated video signals from the last 60 days, each with its link and date, and the role and name of the person you are meeting, from public pages. If we find no dated public video signal, the brief says so and it is not billed. We deliver the brief by email on the date we agree with you before you accept the order.

Own-Your-Pipeline File, sold on its own

USD 400 per file, billed when the file is delivered. From up to 1,000 contact, send, reply and meeting records your studio supplies as CSV exports from its own sending tool: one deduplicated file, with opt-outs marked, in the import format of your CRM (HubSpot, Pipedrive or Salesforce CSV). Research, sending and reply handling are not part of this order. We deliver the file by email on the date we agree with you before you accept the order, once we have your exports.

What's not included

Prices and billing

All prices are in US dollars and exclude any sales tax that applies by law. We bill only the events this section names; our own errors, retries and failed checks are never billed. We do not ask for payment details before you accept an order, and we start paid work only after you accept it as described in "How orders are made".

Outbound batch. USD 5,500 per batch, billed when the batch's researched list is delivered and its first emails go out. There is no setup fee. A batch becomes billable on the day of its first send, and we invoice it that day. Never billed: a batch whose first emails have not gone out; contacts we replace under the Signal-or-Swap Guarantee; reply handling we continue under the Keep-Everything Guarantee; and a batch we run at no charge under the Two-Meeting Guarantee.

Monthly batch plan. After a first paid batch, one batch a month at USD 5,000 a month, month to month, no minimum term, no setup fee. Each month of the plan becomes billable at its start, and we invoice it then. Never billed: a month that starts after you cancel or while the plan is paused; an extra batch you have not ordered; and the items never billed for an Outbound batch.

Keep-Your-Domain Setup, sold on its own. USD 1,500 for one secondary domain, billed when its mailboxes are connected. Never billed: an order whose mailboxes are not connected because the DNS records were not added; our own errors, retries and failed checks; a setup fee beyond this price.

Booked-Meeting Brief, sold on its own. USD 300 per brief, billed when the brief is delivered. Never billed: a brief that finds no dated public video signal; our own errors, retries and failed checks.

Own-Your-Pipeline File, sold on its own. USD 400 per file, billed when the file is delivered. Never billed: a file we cannot build because the exports were not supplied; our own errors, retries and failed checks.

Payment instructions come with each invoice.

Automatic renewal

Monthly batch plan renews automatically. Monthly batch plan is billed at USD 5,000 a month every month and renews automatically until you cancel. Your first charge for it is on the start date named in your order form, at the start of the plan's first month, which comes after your first paid batch. We start it only after you have replied to its order confirmation with the words "I agree to automatic renewal", separately from accepting the rest of the order, and we keep that reply for at least 3 years, or for 1 year after the plan ends if that is later. When it starts, we email you these terms and how to cancel. We email you at least 30 days before any change to its price, and at least once a year we email you its price, how often you are charged and how to cancel.

To cancel, reply CANCEL to any email from us, or email hello@studiobiddesk.com with the word CANCEL. No call, form or reason is needed, and we confirm the cancellation by email within one business day. Cancelling stops Monthly batch plan before its next billing date, and no later month is charged. The month already billed runs to its end with its batch and that batch's 30 days of reply handling, unless you ask us to stop them too.

To pause instead, reply PAUSE. While Monthly batch plan is paused we do no work on it and charge nothing for it. It restarts only when you reply RESUME; if you have not replied RESUME within 3 months, it ends without any further charge.

Cancelling an order

Outbound batch. An Outbound batch does not renew; each batch is a new order you place. You may cancel it by replying CANCEL to any email from us or by emailing hello@studiobiddesk.com with the word CANCEL. If you cancel before the batch's first emails go out, nothing is owed. If you cancel after the first send, we stop sending new emails for that batch and, unless you ask us to stop that too, keep handling its replies until its 30 days of reply handling end. A batch cancelled after its first send stays billed at USD 5,500, and our refund rule on the guarantee page applies to it. We confirm every cancellation by email.

Parts sold on their own. None of them renews. You may cancel one by replying CANCEL to any email from us or by emailing hello@studiobiddesk.com with the word CANCEL. If you cancel before it is delivered (for Keep-Your-Domain Setup, before its mailboxes are connected), nothing is owed. We confirm every cancellation by email.

Guarantees and refunds

Every guarantee we offer, with its conditions, and our refund rule are on our guarantee page at https://studiobiddesk.com/guarantee. A promise that is not on that page or in your order confirmation is not a guarantee we make.

How orders are made

We send you an order form by email from john@studiobiddesk.com. It states what we will do, the price and the guarantee that apply. An order is made when you reply to it with your full name, your title, your company's name and the words "I agree"; that reply is your electronic signature on the order form. The order form and these terms are our whole agreement for that order; if they differ, the order form applies.

Your responsibilities

You confirm that the information and files you send us are accurate and that you have the right to give them to us for the work you order. You use what we deliver in compliance with the laws that apply to you.

You buy the secondary sending domain and add its DNS records once at onboarding, and you send us your studio's public booking link and postal address.

You approve the sequence template once at onboarding, and you confirm that what it says about your studio and its work is true.

Because the campaign emails are sent in your studio's name, you keep the postal address you gave us valid and tell us by email if it changes, and you forward to hello@studiobiddesk.com any opt-out request that reaches you directly, so that we stop emailing that address.

You take the booked meetings, and you pitch and bid the work yourself.

Your material and our work

You keep all rights in the material you send us. Once you have paid for an order, what we deliver under it is yours to use and change. We keep the right to reuse our general methods and know-how, but not your material or your deliverables. How we handle personal information is described in our privacy policy at https://studiobiddesk.com/privacy.

Confidentiality

We keep the non-public information you send us confidential, use it only to do your work, and share it only with the kinds of service providers our privacy policy names. This does not cover information that is public or that you have told us we may share.

No promise of results

We promise the work described in your order, not a business result such as replies, meetings, sales or revenue, unless a guarantee on our guarantee page says otherwise. Estimates, examples and benchmarks we share are not promises.

A booked meeting is not a bid, and a bid is not a won project; an organisation's dated video need is a public signal, not a promise that it will hire a studio. Apart from the remedy of the Two-Meeting Guarantee, we do not promise any number of replies, meetings, bids or projects from the dated-need finding or from a batch.

Limitation of liability

Apart from the work described in your order and the guarantees on our guarantee page, we make no other warranties, express or implied. The free dated-need finding is provided as is.

Except for amounts you owe for work delivered, each party's total liability arising out of or relating to these terms or any order is limited to the amount you paid us under the order concerned in the 12 months before the claim arose. Neither party is liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data, even if told they were possible. Nothing in these terms limits liability that cannot be limited by law.

Ending an order

Either of us may end an order that is not yet finished, by email, if the other seriously breaks these terms and does not fix it within 15 days of being told. You then pay for the work delivered up to that point, and we refund what you paid for work not delivered.

Changes to these terms

We may change these terms by publishing a new version on this page with a new effective date. An order keeps the terms in force when it was made. For a plan that renews automatically, we email you any change at least 30 days before it applies to you, and you may cancel before then.

Governing law and disputes

These terms and every order are governed by the laws of the State of Delaware, without regard to its conflict-of-law rules. Before either of us starts a legal claim, we try for 30 days to settle the matter by email. A claim that is not settled is brought only in the state or federal courts located in Delaware, and both of us accept their jurisdiction.

General

You may not transfer an order to someone else without our agreement by email. If a court finds part of these terms unenforceable, the rest still applies. Notices under these terms are given by email: ours come from john@studiobiddesk.com, and yours go to hello@studiobiddesk.com.
